Time Card Calculator

This time card calculator turns a messy workweek into clear hours, overtime, and estimated gross pay in seconds.

  • Runs in your browser
  • Saves your draft locally
  • Exports to CSV

Enter and review your time card

Choose the quickest way to enter your work time. Add Week 2 only for a biweekly pay period; it is ignored when you use one week.

Week 1

One day per line: 9am-5pm or 09:00-17:00. 12am is midnight; 12pm is noon. Never mix 17:00pm. Commas split paid periods, so unpaid breaks are not counted. An earlier end time means next day.

Start with one shift, or try an editable example above.

A work schedule is not an overtime rule. When daily and weekly thresholds overlap, the same minute is counted as overtime once.

Report details Optional

These details appear only on the printed report. HourlyKit does not use them in the calculation or save them.

A time card calculator that shows its work.

Fast totals matter, but so does knowing which entries produced them. Review the calculation before you use the number.

See the week as one total

The time card calculator combines valid shifts, unpaid breaks, and split entries before it shows regular time, overtime, and estimated gross pay. You can inspect the applied entries instead of trusting a hidden total.

Use the schedule you already have

Start with a quick line for each day, paste a copied schedule, or switch to detailed rows. The time card calculator keeps the same calculation rules across all three entry methods.

Leave with a usable record

After reviewing the result, copy the summary, print a clean view, or export the applied entries as CSV. Your current draft stays in this browser so a refresh does not erase the week.

Breaks, split shifts, overnights, and overtime.

Each valid shift is calculated in whole minutes. Unpaid breaks are subtracted, split shifts are combined, and overnight shifts continue into the next day.

Weekly overtime starts at 40 hours by default. You can change the threshold, multiplier, and optional daily overtime rule before using the estimate.

Who uses this time card calculator?

Use it for a quick independent check whenever a workweek contains more than simple eight-hour days.

Hourly employees checking a pay period

Use the time card calculator to compare your own record with a schedule or pay stub. It gives you a transparent estimate to discuss, while leaving payroll, tax, and legal determinations to the responsible employer or professional.

Managers reviewing a small team schedule

Check whether a proposed week crosses the selected overtime threshold, whether a break was entered, and whether an overnight shift was interpreted correctly. The result is an estimate, not a replacement for an official timekeeping system.

Freelancers organizing billable time

Total completed work blocks before creating an invoice. The time card calculator can combine split shifts and export applied entries, but it does not create invoices, track clients, or decide which time is billable under a contract.

One focused tool for every pay question.

Straight answers before you use the total.

Is my information private?

Yes. Calculator inputs stay in your browser. HourlyKit does not send raw hours, pay amounts, or results to an analytics service.

Does this calculate take-home pay?

No. Results are estimated gross pay before taxes, deductions, benefits, or other withholding.

How are unreadable lines handled?

Lines that cannot be interpreted are marked as errors and do not affect the calculation. Review the message, correct the line, and apply it again.

Can I use 12-hour or 24-hour time?

Yes. Use 9am-5pm or 09:00-17:00. 12am means midnight and 12pm means noon. Do not mix formats as in 17:00pm. A comma separates paid periods, so an unpaid lunch is left out.

When should I add Week 2?

Add Week 2 only for a biweekly pay period. Review and apply it separately; valid text does not affect totals until applied. Weekly overtime is calculated separately for each week.

Does a 9–6 schedule mean overtime?

Not automatically. If 9am–6pm includes a one-hour unpaid lunch, enter 9am-12pm, 1pm-6pm for eight paid hours. Without that break it is nine paid hours. Enable the daily threshold only when that rule applies to your estimate; weekly and daily overtime minutes are never counted twice.

What does gross pay mean?

Gross pay is the estimate before taxes, deductions, benefits, or withholding: regular hours × hourly rate, plus overtime hours × hourly rate × overtime multiplier.

Can I use a different overtime rule?

You can change the weekly threshold, overtime multiplier, and optional daily threshold. Eligibility and local rules vary, so treat the result as an estimate.

How the estimate is reviewed

The time card calculator stores and totals work time as whole minutes before formatting the result. For general background on compensable time under U.S. federal law, consult U.S. Department of Labor Fact Sheet #22. Actual overtime eligibility, paid breaks, rounding rules, and recordkeeping duties can depend on location, contract, and worker classification.
